The Sage 100 link can be a struggle for users with multiple/large employers; the Sage 100 link can quickly become a significant choke point in the payroll process.
- Things that can be improved
- Sage 100 Link needs to allow more than one user to use the Sage 100 Link or to access the Employee Tax Info screen from Sage HRMS Sage 100 Payroll Setup screen.
- It should behave like Sage 300, where one user can access one employer at a time using the Sage 100 link or Employee Tax Info button.
- If you have multiple companies in Sage HRMS with multiple HRMS users that manage each company or a group of companies, they should be able to open the link for that employer.
- Sage 100 Link Setup should be uniquely configured per payroll company, not from a general interface that can take several minutes to open each time.
- Sage 100 Link needs a search feature to quickly find a single employee and not rely solely on a slide bar.
- Sage 100 and HRMS should have a more seamless integration between the two (Sage 100 Setup Tab in HRMS)
- Tax configuration
- Federal Tax Status
- State Tax Tab
- Local Tax Tab
- Employee Direct Deposits
- Sage 100 Link should have more controls on how to control benefits from HRMS updates onto the employee details in Sage 100
- The link should allow the user to set up the deduction or the benefit to override the dollar amount using a conversion factor.
- Not all deductions are withheld by the employee on their default pay frequency.
- Reporting:
- Fix the way the Sage 100 Link updates employees where different employees may be updated into Sage 100 depending on the range of employees selected.
- Sage 100 Link does not behave consistently, where all employees will get updated when expected and leave ranges of records off.
- The payroll user may have to find the missing employees and sync them individually.
- The Comparison reports should reflect all changes being made regardless you are only running for the reports option or for allowing the sync process to complete the Transfer and update employees.
- When there is an error in the sync, it should do a better job of directing the Sage user on what data point is the problem. Some errors are overly vague or do not point the user to the correct location to fix the employee record.
- Most of the issues are typically caused by a bad import into Sage HRMS
- Security - The HRMS Link should be able to link the Sage HRMS user and the Sage 100 user
- This will help with audit logging in Sage 100 so you know who ran the link to update the employees instead of defaulting to a single user.
- Setup for Sage 100 Link
- There should be a button or setting page for the Sage 100 link in HRMS that will hold the Sage 100 data folder location (MAS90)
- Users should not have to find a .ini file and update after a significant Sage 100 update where the install path has changed.
- Syncing of employees between HRMS and Sage 100
- There are challenges when trying to fix employees who were added to Sage 100 first, then into HRMS later.
- The Sage 100 setup tab should allow the user (with admin-level permissions) to fix the employee Sage 100 payroll ID.
- The Sage 100 Sync should not require a user to also browse to the \\Server\Sage\SageHRMSServer\Data\MAS90 folder to manually change the Snyc process to trigger the employee records between the two systems to sync.
